Can I Hide Courses in BrainStation?

By default, all Users in BrainStation will see the entire library of Bigger Brains content. This can include courses that are not relevant for them, such as old versions of Microsoft Office (Office 2016/Office 2019), or Sexual Harassment courses for other states. There is a Course Visibility feature which allows Resellers and Team Leaders to adjust the default Course Visibility for Teams, or to specifically control the Course Visibility for any single User.
Users with Reseller Access can define a default Course Visibility Template which would apply to any Team in their Reseller Portal. The Course Visibility Template will be the starting point for all Teams and Users until and unless their own settings are edited. Users with Team Leader Access can override the Course Visibility Template for their entire Team and/or individual Users in their Team. If any selections are made at the User level, they will override the Team setting.
Please Note:
Users with Reseller Access: Can set a Course Visibility Template that applies to every Team inside their Reseller Portal.
Users with Team Leader Access: Can reset the Course Visibility for their entire Team and/or customize Course Visibility for Users in their Team.
Users with Team Assistant Access: Cannot enter the Team Management Portal, therefore cannot change Course Visibility at all.
Standard User: Cannot enter the Team Management Portal, therefore cannot see or change Course Visibility at all.
Creating a Course Visibility Template:
- Access the Reseller Portal.
- Select Visibility Template from the left-side menu.

Select a main option.

Show only selected courses:
- If Show only selected courses is chosen, only the selected courses will be visible in BrainStation. Any new courses added to our library in the future will be unselected and thus not visible unless a Reseller/Team Leader edits the Course Visibility and selects them.

Hide selected courses:
- If Hide selected courses is chosen, all the selected courses will not be visible in BrainStation. All other courses will be available to the Users on this Team, and any new courses added to our library will be visible by default.

Show only selected courses:
Please Note:
We recommend that you choose Hide selected courses when customizing course visibility. By doing so, all new courses that are released will automatically be visible inside BrainStation without the need to readjust the Course Visibility.
- Select the courses or categories you would like shown/hidden.
- When finished, select the Save selection button.
Please Note:
Courses are grouped by category, and some courses appear in more than one category. If you don’t select any categories, or if you select all of them, Users will see the entire Bigger Brains course library. If a course is selected or unselected in any category, it will also be selected or unselected in all other categories for which it appears.
Resetting a Course Visibility Template:
- Access the Reseller Portal.
- Select Visibility Template from the left-side menu.
- Click Clear Selection.
- This is located under the Save selection button.
Please Note:
Course Visibility Templates are a Reseller-level feature. Team Leaders and Team Assistants will not be able to view or manage these templates directly. When a Team Leader selects Clear Selection in the Team Management Portal, it will revert course visibility to match the Reseller’s template (if one exists) or show all courses if no template is applied.
Editing Course Visibility from the Team Management Portal:

Editing Course Visibility in the Team Management Portal will change the Course Visibility for the entire Team. This will also override any Course Visibility Template that may be set up for the Team.
- Access the Team Management Portal.
- Select Course Visibility from the left-side menu.
- If your Team has a Course Visibility Template assigned to it, you will see the following:
- A main option has already been selected.
- Courses have already been selected.
- A Clear Selection option is shown on screen.
- If your Reseller has a Course Visibility Template applied, you can select Clear Selection to revert your settings to that template.
- If no template is in place, Clear Selection will default to showing all courses.

From here, select a main option.

Editing Course Visibility on a User Level:

Editing Course Visibility at the User level only affects the selected User. This does not change the Team’s visibility settings; it simply overrides them for that specific User.
- Access the Team Management Portal.
- Select Members from the left-side menu.
- Click List from the drop-down list.
- Find the User whose Course Visibility you would like to edit.
- Select the Courses icon for the User.
- If a User has any Course Visibility assigned to it, you will see the following:
- A main option has already been selected.
- Courses have already been selected.
- A Clear Selection option is shown on screen.
- If your Reseller has a Course Visibility Template applied, you can select Clear Selection to revert your settings to that template.
